Correspondence and Information. 5.1 Except where otherwise specified in this Agreement, correspondence between the Association and the University arising out of this Agreement or incidental thereto will pass between the Chief Human Resources and Equity Officer and the President of the Association, or their designates. 5.2 Where written notice is specified in the Agreement, the University's internal mail will be deemed adequate means, unless otherwise specified in this Agreement, or as mutually agreed to by the Parties. 5.3 The University will provide the Association with the following information, preferably in electronic format: (i) annually, a list containing the names of all Members, their job title and classification (ii) bi-weekly, through the Staff Changes Report, all hires, changes in classification, type or length of appointment, leaves, transfers and terminations involving all Members in positions covered by the bargaining unit; (iii) two (2) copies of the latest University budget and budget report when circulated to the Board; (iv) two (2) copies of the annual audited statement of the University when presented to the Board; (v) notice of meetings, agenda, and a copy of the public minutes of the Board at the time of distribution; (vi) notice of meetings, agenda and a copy of the public minutes of the Senate at the time of distribution; (vii) the names and addresses of all persons appointed or elected to positions on the Board or Senate, together with the names of persons appointed or elected to Board or Senate committees with any terms of reference of those committees at the time of their election or appointment; (viii) approved minutes of the Building and Properties Committee and Finance and Investment Committee of the Board, and the audited and other reports concerning the pension and benefits plans; (ix) such other information as may be set out elsewhere in this Agreement that is required to be given. 5.4 The Association agrees to provide the University with the following information, preferably in electronic format: (i) a copy of each Association newsletter at the time of distribution to the Members; (ii) a copy of the Constitution and By-laws of the Association as they exist at time of ratification and as they are updated; (iii) a list of the Officers and Stewards of the Association as they exist at time of ratification and as they are updated; (iv) such other information as may be set out elsewhere in this Agreement that is required to be given.

Where written notice is specified in the Agreementspecified, the University's ’s internal mail will may be deemed adequate means, unless otherwise specified in this Agreement, or as mutually agreed to by the Partiesused. 5.3 3.3 The University will undertakes to provide the following information to the Association with the following information, preferably in electronic formata timely manner: (ia) annuallyan annual list of Members as of May 1, including name, rank, department, appointment category and dates, FTE, and approved leaves of absence during the salary year for each Member; (b) a monthly update giving the same data as in (a) for new Members and listing terminations of Members; (c) the names and new ranks of Members who have received promotions, and the effective dates of such promotions; (d) during the first month of the salary year and within one month of any changes to benefit plans, a list containing the names and detailed description of all benefit plans applicable to Members, their job title and classification (ii) bi-weekly, through the Staff Changes Report, all hires, changes in classification, type or length of appointment, leaves, transfers and terminations involving all rates charged to Members in positions covered by the bargaining unitfor these plans; (iiie) two public agenda materials and minutes of the Senate, Senate Finance Committee, Senate Long Range Planning Committee, Board of Governors, Board Pension and Benefits Committee; (2f) copies agenda materials and minutes of the Faculty Relations Committee; (g) a copy of the latest University budget and budget report reports when circulated to the Board; (ivh) two (2) copies names and professional addresses of the annual audited statement of the University when presented to the Board; (v) notice of meetings, agenda, and a copy of the public minutes members of the Board at the time of distribution; (vi) notice Governors and Senate, and of meetings, agenda Board and a copy of the public minutes of the Senate at the time of distribution; (vii) the names and addresses of all persons appointed or elected to positions on the Board or Senatecommittees, together with the names of persons appointed or elected to Board or Senate committees with any terms of reference of those committees at the time of their election or appointment;such committees; and (viiii) approved minutes such other information as the Parties agree from time to time. 3.4 The University agrees to provide the report of the Building and Properties Committee and Finance and Investment Committee of the BoardPension Plan Actuary, and the audited and other reports concerning the pension and benefits plansplans to the Association on request. 3.5 The Association undertakes to provide the following information to the University in a timely manner: (a) a copy of each FAUW Forum, newsletter, or other public communication to all Members at the time of distribution; (ixb) an up-to-date copy of the Association’s Constitution and Bylaws within one month of their revision; (c) an up-to-date list of the Association’s Board of Directors and Executive within one month of any changes; and (d) such other information as may be set out elsewhere in this Agreement that is required the Parties agree from time to be giventime. 5.4 The Association agrees to provide the University with the following information, preferably in electronic format: (i) a copy of each Association newsletter at the time of distribution to the Members; (ii) a copy of the Constitution and By-laws of the Association as they exist at time of ratification and as they are updated; (iii) a list of the Officers and Stewards of the Association as they exist at time of ratification and as they are updated; (iv) such other information as may be set out elsewhere in this Agreement that is required to be given.

Where such information is not otherwise publicly available to the Employer, the Association undertakes to provide the following information to the Employer in a timely manner: (a) A copy of each newsletter or other public communication to all Members at the time of distribution. (b) an up-to-date copy of the Association's Constitution and Bylaws within one month of their revision; (vic) notice of meetings, agenda and a copy an up-to-date list of the public minutes Association's executives and officers within one month of the Senate at the time of distribution;any changes; and (vii) the names and addresses of all persons appointed or elected to positions on the Board or Senate, together with the names of persons appointed or elected to Board or Senate committees with any terms of reference of those committees at the time of their election or appointment; (viii) approved minutes of the Building and Properties Committee and Finance and Investment Committee of the Board, and the audited and other reports concerning the pension and benefits plans; (ixd) such other information as may be set out elsewhere in this the parties agree from time to time. 5.5. Upon ratification by the parties, the Employer will prepare two (2) official copies of the Agreement that is required to be given. 5.4 The Association agrees to provide signed by the University with the following information, preferably in electronic format: (i) a copy of each Association newsletter at the time of distribution to the Members; (ii) a copy signing officers of the Constitution Employer and By-laws of the Association as they exist at time of ratification and as they are updated; Association. Correspondence and Information. 5.1 6.1 Except where otherwise specified in this Agreement, correspondence between the Association and the University arising out of this Agreement or incidental thereto will to it shall pass between the Chief Human Resources and Equity Officer President and the President of the AssociationPrincipal, or their designates. 5.2 Where written notice is specified in the Agreement, the University's internal mail will be deemed adequate means, unless otherwise specified in this Agreement, or as mutually agreed to by the Parties. 5.3 6.2 The University will shall provide the Association with the following information, preferably in electronic format: (ia) annually, a list containing name, title, rank, staff number, contract start and end dates, gender, unit, University address, remuneration for each course, identification of course(s) and proportion of course(s) taught, for each Member no later than September 1 (for those teaching in the Fall term or the Fall -Winter session), January 1 (for those teaching in the Winter term), and May 1 (for those teaching in the Spring term, Summer term or Spring-Summer Session) every year; (b) the list required by Article 6.2 (a) shall be supplemented with the names and information of any additional Member appointed under Article 23.2.4, Article 23.2.5, and Article 23.2.6 and with the names and details of any revisions to appointments for Members, as soon as possible after such appointments or revisions are made; (c) the e-mail addresses for Members as soon as possible after their appointment begins; (d) the names of all MembersMembers whose employment has been terminated for reasons other than expiration of contract, their job title the dates of terminations, and classification the categories of termination such as death, resignation, retirement and dismissal within ninety (ii90) bi-weekly, through the Staff Changes Report, all hires, changes in classification, type or length days of appointment, leaves, transfers and terminations involving all Members in positions covered by the bargaining unittermination; (iii) two (2) copies of the latest University budget and budget report when circulated to the Board; (iv) two (2) copies of the annual audited statement of the University when presented to the Board; (v) notice of meetings, agenda, and a copy of the public minutes of the Board at the time of distribution; (vi) notice of meetings, agenda and a copy of the public minutes of the Senate at the time of distribution; (vii) the names and addresses of all persons appointed or elected to positions on the Board or Senate, together with the names of persons appointed or elected to Board or Senate committees with any terms of reference of those committees at the time of their election or appointment; (viii) approved minutes of the Building and Properties Committee and Finance and Investment Committee of the Board, and the audited and other reports concerning the pension and benefits plans; (ixe) such other information as may be set out elsewhere in this Agreement that is required to be given. 5.4 6.3 The Association agrees to provide the University with the following information, preferably in electronic format: (ia) a copy of each Association newsletter at communication bulletin for Members of the time of distribution to the MembersBargaining Unit; (iib) a an up-to-date copy of the Constitution and By-laws Bylaws of the Association as they exist at time for Members of ratification and as they are updatedthe Bargaining Unit; (iiic) a an up-to-date list of the Officers and Stewards Executive Committee of the Association as they exist at time and all other standing committees of ratification and as they are updatedthe Executive; (ivd) such other information as may be set out elsewhere in this Agreement that is required to be given; (e) notice, agenda, and approved minutes of the Association’s General Meetings (regular and special). 6.4 Unless otherwise provided by this Agreement, the University’s internal mail shall be deemed adequate for correspondence between the Association and the University. All communications required by Article 17 and Article 18 between the University and Members shall be delivered by receipted, registered Canada Post, or other personal delivery for which signed acknowledgment of receipt has been received.
