The Design Review Meetings clause establishes the requirement for regular meetings between relevant parties to evaluate and discuss the progress and quality of design work. These meetings typically involve project stakeholders, designers, and sometimes clients, who review design documents, address feedback, and resolve any issues or discrepancies. By formalizing these meetings, the clause ensures ongoing communication, timely identification of problems, and alignment of expectations, ultimately helping to prevent misunderstandings and delays in the design process.
Design Review Meetings. Tenants shall complete the design review process in a timely manner allowing Tenant to start construction in time to be operational upon opening day of Terminal 2. Airport will provide Tenant with estimated opening date upon signing of Tenant’s lease and will inform Tenant in writing of any changes to said date. Design review steps include but are not limited to the following:
Design Review Meetings.
(a) In order to obtain user input in the preparation of, and prior to submitting, the Design Development Submittals and the Construction Document Submittals, the Parties will hold design review meetings (the “Design Review Meetings”) upon the following terms:
(i) the Project Co Representative shall arrange the Design Review Meetings in consultation with the Contracting Authority Representative;
(ii) the Parties shall cooperate to develop a reasonable schedule for the Design Review Meetings and shall incorporate such schedule into the Draft Baseline Works Schedule;
(iii) Project Co shall circulate to the Contracting Authority Representative an agenda for each of the Design Review Meetings no later than 10 Business Days prior to the relevant Design Review Meeting and all drawings and meeting material no later than 7 Business Days prior to the relevant Design Review Meeting, unless otherwise agreed by the Contracting Authority Representative;
(iv) the Design Review Meetings shall be held in person at the MTO Regional Office at ▇▇▇ ▇▇▇▇▇▇ ▇▇▇▇, ▇▇▇▇▇▇, ▇▇▇▇▇▇▇, except where otherwise agreed by the Parties, acting reasonably;
(v) in advance of a Design Review Meeting, Project Co may submit to the Contracting Authority Design Team interim drafts of designs or plans required under this Project Agreement, which submissions shall be used to inform Contracting Authority on the development of the Expansion Infrastructure design and provide an opportunity for dialog on compliance with the requirements of this Project Agreement. If a Proposal Part corresponds to the interim submissions, then Project Co shall ensure that the interim submissions are substantially the same content and level of detail as the corresponding Proposal Part. For greater certainty,
(A) interim submissions shall be informal, shall not be reviewed in accordance with Schedule 10 - Review Procedure;
(B) the requirement for Project Co to submit interim submissions that are substantially the same content and level of detail as the corresponding Proposal Part, shall not,
(I) lessen, reduce or otherwise modify or amend Contracting Authority’s rights under the Project Agreement to review any Design Development Submittals in accordance with Schedule 10 – Review Procedure; or
(II) constitute acceptance by the Contracting Authority of the corresponding Proposal Part or any Design Development Submittal in accordance with Schedule 10 – Review Procedure.

Design Review Meetings. HDR will participate in up to two design review meetings (to be held virtually) to review design issues and coordinate project details with GLO. HDR will prepare agenda and handouts, facilitate meetings, and issue meeting notes to GLO following meetings.
Design Review Meetings. Following one week after each draft design deliverable, a Design Review meeting will be organized and led by WSC to solicit feedback, comments, and questions from a core team representing the City’s Utilities Department. Design review meetings will be held after the following deliverables:
(1) Draft Phase I Preliminary Design Report

(3) Draft Phase II Preliminary Design Report
(4) Draft Phase II Plans and Specifications Additional streamlined Design Review meetings will be conducted for the Draft Final Plans and Specifications for both Phase I and II, and will include only of the City Project Manager, Senior Engineer, and WSC. WSC will develop agendas and presentations on specific aspects of the deliverables prior to the meeting for review by the City PM, and will prepare and distribute minutes to document findings from the meeting.

Design Review Meetings. The following reviews will be done concurrently for each of the bridge locations. Design concept confirmation – Forest Service will conduct a meeting to present 50% plans of major design concepts for the bridge replacements to the City of Portland Water Bureau. The meeting will have the intent of confirming the major design issues for the project. From the direction given by the City of Portland Water Bureau at this meeting the Forest Service will proceed with design. The Forest Service will make personnel available and provide the City of Portland Water Bureau with the immediate design information as requested or as conditions warrant. 99% review – The Forest Service will submit to the City of Portland Water Bureau an unsigned set of 99% plans, specifications, and a cost estimate. When the City of Portland Water Bureau has approved the contract documents the Forest Service will incorporate any revisions and provide a complete set of signed documents to the City of Portland Water Bureau.
Design Review Meetings. Following concept, 50%, and 90% design phases, a design review meeting will be held for Village review, and to discuss potential constructability issues and implementation strategies.
