The CITY EMAIL clause defines the official use and management of email communications by the city or its representatives within the context of the agreement. City Email. The Employer and the Guild agree that the Employer’s computers and equipment shall be used primarily for conducting the Employer’s business. Guild staff members shall be allowed to use the Employer’s electronic mail system to post notices through their stewards provided that such use does not interfere with the Employer’s operations or cause additional cost to the Employer. The Guild understands that any communications taking place on the Employer’s computers and equipment are subject to review by the Employer, is not secure or private, and is part of the public domain.
City Email. All full-time City employees will be provided an email account for City communication purposes. Employees are expected to check email periodically or when advised by their department in order to obtain information regarding City matters. The City shall allow GEM limited used of the City’s email system to notify members of bargaining unit meetings, which will be limited to the date, time, and location of the meeting, as well as a general description of the purpose of the meeting. All notices are to be provided to Human Resources for pre- approval. Once approved, the City’s email system may be used. The City agrees to provide GEM with a complete list of workplace email addresses for all employees in the Bargaining Units it represents.
City Email. The City’s electronic mail system may be used by the Union for Union related communications including, but not limited to communications related to collective bargaining, investigation of grievances, administration of the collective bargaining agreement or other dispute investigations, and matters involving Union governance and other Union business consistent with ORS 243.805(5).
