Common use of Meeting Protocol Clause in Contracts

Meeting Protocol. a. Meetings will be held at the call of either chairperson, on a day and time mutually agreed upon. b. Meetings shall be conducted in the Health Unit offices unless otherwise agreed. c. The chairperson shall cause an agenda to be prepared for the meeting from those items submitted at least ten working days prior to the meeting. Copies of the agenda shall be distributed to all members of the committee at least 5 days prior to the meeting. d. All agenda items will include a brief outline of the subject matter so that all committee members may be prepared for meaningful discussion and disposition. Discussion will be confined to matters on the agenda except for emergency matters added by mutual consent. e. Disposition of an item on the agenda may be accomplished as follows: i) by mutual agreement ii) by referral to a more appropriate forum or by deferral iii) by cancellation iv) by specifying an appropriate follow-up action plan
