Room Block. The Hotel will hold a total of room nights for the University’s event. The Hotel agrees to hold this Room Block until «BusinessCutoffDate» (“Cut-Off Date”), after which date rooms not covered by a rooming list or individual reservations shall be released from the Room Block and the Hotel shall have the right to sell any rooms so released. Hotel may continue to accept reservations received after the Cut-Off Date on a space and rate availability basis.

Room Block. A. The Hotel shall, on a regular basis, advise the Society of the number of rooms reserved in the block and the number available. In no case shall this minimum room commitment as stipulated in this Agreement be reduced except by subsequent mutual consent via written agreement between the Society and the Hotel. After the XXX (Year) Meeting, the Hotel and the Society will reevaluate the room and space commitment. Based on such evaluation and upon mutual agreement, the guest room percentages and assigned meeting space can be modified without penalty to more accurately reflect the Meeting’s current history. Any modifications will not affect either party’s obligations under this Agreement unless a written amendment to this Agreement is agreed upon by both parties. All rooms used by persons attending or working at the meeting will be counted in the room block. These include, but are not limited to: all cancellations billed (“no shows”); all persons who, for whatever reason, do not receive the group room rate (e.g., late reservations, corporate rates, government rates, non-hotel internet sites, etc.); all persons “walked.” Every effort will be made by the Society and by the Hotel to ensure that all Meeting attendees staying in the Hotel are counted in the block.

Room Block. Contractor must be able to block and hold up to 35 rooms with no less than a 24-hour notice by the State with the possibility of an additional 39 rooms.
