Official Board File Clause Samples

The 'Official Board File' clause designates a specific set of documents or records as the authoritative source of information for a board or governing body. In practice, this clause typically identifies where official meeting minutes, resolutions, and other key board documents are stored, such as a physical binder or a secure digital repository. By establishing a single, recognized location for these records, the clause ensures that all parties refer to the same, accurate information, thereby reducing disputes and maintaining organizational transparency.
Official Board File. Only one official personnel file shall be maintained by the Board or designee which shall be the property of the Board, subject to any document segregation requirement of this Agreement or the law. One major purpose of the provision shall be to provide the employee with a single point at which he/she can review any and all personnel documents which are, have been or are intended to be used in determining the employee’s qualifications for employment, promotion, transfer, additional compensation, discharge or other disciplinary action, except as exempted in section 9.3.
Official Board File. Only one official Board file shall be kept for each Teacher that relates to job performance. However, confidential medical records and medical information shall be kept in a separate file accessible only to the Superintendent or his/her designee who is accounts receivable/payroll clerk.
