Common use of Scheduling of PTO Clause in Contracts

Scheduling of PTO. Except for unexpected illness or emergencies, PTO should be scheduled in advance. The following provisions will apply for the scheduling of PTO when there are multiple requests for the same time period (subject to the rotation of holidays set forth in Article 7): a. For requests submitted between January 1 and March 1 of each year for the twelve month period beginning June of each year, senior nurses will be given preference for scheduling PTO within their unit and shift. If two nurses with the same seniority submit requests on the same day for the same period of vacation, the determination will be made by a flip of a coin. Confirmation of a nurse’s scheduled use of PTO will be provided in writing by March 31 of each year. b. For requests submitted after March 1, the determination will be based on the date the request is submitted. Confirmation of the nurse’s scheduled use of PTO will be provided in writing and within two weeks of the request, provided the request is submitted at least two (2) weeks before the relevant schedule is posted. c. Once PTO is approved, it may be changed only by mutual agreement, unless the nurse changes unit or shift after approval but before the PTO usage. d. Scheduling of vacation is best resolved by unit-based decisions. Each unit will follow its current practice regarding such interactive and collaborative processes that promote scheduling of vacations consistently, provided however, that the parties acknowledge that any such practice must be approved by the unit manager. e. If a nurse requests specific days off in accordance with Section 8.9 of this Agreement, the Hospital will make good faith efforts to accommodate the nurse’s request without requiring the nurse to use PTO, understanding that the Hospital may not be able to accommodate all such requests.
