Confirmation of Reservation. The contact person for the organization will receive one (1) email to confirm the reservation of the conference room. It will include all information about our facility and the available equipment in the room. In addition, a use agreement and a copy of this policy will be sent to the organization. The use agreement must be signed and returned to the MSU CREC Office Associate in order to complete the reservation. At this time, the organization will provide the expected number of attendees. Set up is at the responsibility of the user. Additional tables and chairs are available upon request. It is the users’ responsibility to return the room to its original set up. Set up must be approved in advance by the Office Associate.
Confirmation of Reservation. Reservations shall be binding only if guaranteed in full by credit card or where credit arrangements have been agreed with Lairhillock Lodge or where a deposit has been received for such reservation. Reservations accepted by Lairhillock Lodge, subject to a deposit, will be held until fourteen days before the scheduled arrival date. If the required deposit has not been received at least fourteen days prior to the scheduled arrival date, the reservation will automatically be cancelled. For bookings with a leadtime of less than fourteen days, payment of the deposit guaranteed by credit card will be required.

(See NFPA 1407) • Minimum of one Basic Life Support equipped NYS EMT. Equipped shall mean at a minimum, a trauma bag, BVM, Oxygen and AED.

Deposits are handled with a credit card authorization, which blocks the deposit amount on your credit card. In some cases, the Damage Deposit will be required to be signed upon arrival. In other reservations, a Security Damage Deposit Form, on which you agree to an authorization, blocking funds on your credit card must be signed and returned to SMRC. Renters must secure their reservation with a credit card valid at least 60 days after the departure date. Failure to sign the appropriate Damage Deposit Form, subject the reservation to automatic cancellation and you will be denied occupancy, without refund. The responsible guest entering into this reservation agreement must be at least 18 years of age (in some cases the minimum age is higher) and be present at check-in and check-out and provide passport or other ID on request. Guests acknowledge that he/she will personally occupy the property for the entire lease period and will not sublet any portion of the property. All Guests must be preregistered prior to arrival. The total number of persons allowed in the rental property at any one time is restricted to the maximum occupancy set forth in the confirmation. Should a rental party misrepresent themselves, they will be required to pay for the excess persons immediately or shall vacate the property without refund. Guests agree that the premises are subject to their quiet enjoyment and shall not be used for any illegal or unlawful purpose. Special events must be approved in writing, in advance by SMRC.
Confirmation of Reservation. When signed by Renter, this document shall be considered an offer by Renter to Owner, solicited by Agent, to rent the Premises on the terms stated herein. No rental contract is formed, and no reservation will be finalized until Owner or Agent have countersigned this agreement and Agent has contacted Renter in writing (by fax, letter text message or email) to confirm receipt and acceptance of Renter’s offer and Renter’s credit card number and billing information. Until
(1) Agent has received Renter’s credit card billing information, (2) Agent has returned to Renter a copy of this rental contract countersigned by Agent or Owner, and (3) Agent has communicated with Renter in writing to confirm the reservation, the reservation and this agreement are not binding and Agent or Owner may rent the Premises to another party (and Owner may use the Premises) during the period of the reservation without liability to Renter or anyone related to Renter. (As used below, the three numbered events just described are collectively called “Confirmation of Agreement” if, as and when all three events have occurred).
