The System of Records clause defines how personal or sensitive information is collected, maintained, and managed within a specific database or record-keeping system. It typically outlines the types of data included, the purposes for which the data is used, and the procedures for accessing or amending records. This clause ensures compliance with privacy laws and regulations, providing transparency and accountability in the handling of personal information.
System of Records. The DoD data provided to SPAAs in this matching program will be disclosed from the system of records identified as DMDC 01, titled “Defense Manpower Data Center Data Base,” last 2 The estimated State benefits of the PARIS matching programs are based on a 2007 cost-benefit analysis undertaken by HHS/ACF to assess the potential impact of PARIS on state programs system-wide. Although a similar systemic study has not been conducted since, ACF estimates that the current benefits of PARIS are at least as large as the 2007 estimate, in part because of the expansion of the program—in the 2007 analysis there were 40 states participating in PARIS and today all 50 states, the District of Columbia and Puerto Rico participate in PARIS. Routine use “16,” was added in the March 11, 2019 modification and authorizes DMDC’s disclosures of match results to the SPAAs.
System of Records. 1. VHA will provide the IRS with identifying information with respect to applicants for and recipients of benefits available under programs cited in Article I.B. of this Agreement from VHA’s System of Records entitled “Income Verification Records-- VA” (89VA10NB) (Routine use nineteen (19)), as published at 73 FR 26192 (May 8, 2008), and updated at 78 FR 76897 (December 19, 2013). A copy of the published system of records notice is at Attachment B.
2. IRS will extract return information with respect to unearned income from the Information Return Master File (IRMF) ProcessingFile, Treas/IRS 22.061, as published at 80 FR 54081 (September 8, 2015), through the Disclosure of Information to Federal, State and Local Agencies (DIFSLA) program. A copy of the published system of records notice is at Attachment C.
System of Records. DISCLOSURE: Voluntary; failure to furnish the requested information may result in a loss of computer access privileges.

System of Records. SSA will match the data in VA/VHA’s electronic file with SSA Enumeration data from the Master Files of SSN Holders and SSN Applications (referred to as the Enumeration System), 60-0058, last fully published at 87 Fed. Reg. 263 (January 4, 2022). SSA will subsequently run those verified SSNs against the Earnings Recording and Self- Employment Income System (referred to as the Master Earnings File (MEF)), 60-0059, last fully published at 71 Fed. Reg. 1819 (January 11, 2006) and amended at 78 Fed. Reg. 40542 (July 5, 2013) and 83 Fed. Reg. 54969 (November 1, 2018) to extract and disclose the needed tax return information to VA/VHA. VA/VHA will match SSA information with information extracted from its system of records “Income Verification Records -VA” (89VA10NB). The information in these systems of records may be updated during the effective period of this agreement as required by the Privacy Act.

System of Records. SSA will initially access and verify submitted SSNs through the Master Files of Social Security Number Holders and SSN Applications, 60-0058, (the Enumeration System), last fully published on December 29, 2010 (75 Fed. Reg. 82121), and amended on July 5, 2013 (78 Fed. Reg. 40542), and February 13, 2014 (79 Fed. Reg. 8780) for verification purposes. SSA will subsequently run those verified SSNs against systems records to extract and disclose the necessary tax return information from the Earnings Recording and Self- Employment Income System, 60-0059, last fully published on January 11, 2006 (71 Fed. Reg. 1819), and amended on July 5, 2013 (78 Fed. Reg. 40542).
System of Records. The CMS System of Records that supports this matching program is the “CMS Health Insurance Exchanges System (▇▇▇)”, CMS System No. 09-70-0560, last published in full at 78 Federal Register (Fed. Reg.) 63211 (October 23, 2013), and amended at 83 Fed. Reg. 6591 (February 14, 2018). Routine use 3 of the SOR allows the disclosure under this agreement.
System of Records. Any group of records under the actual or constructive control of any state agency which includes the Personal Information of one or more Data Subjects. Any reference to a “Statewide Database” shall mean a System of Records, and the terms may be used interchangeably.
System of Records. Employer’s HRIS/payroll system is the system of record for non-discrimination testing information. Employer must provide DBI with the information necessary to perform the standard non-discrimination testing services and in the file format required by DBI.
