The Closeout Phase clause defines the procedures and responsibilities that apply when a project or contract is nearing completion. It typically outlines the steps required to finalize deliverables, resolve outstanding issues, return or dispose of materials, and complete any necessary documentation or reporting. This clause ensures that both parties fulfill their obligations at the end of the engagement, facilitating a smooth transition and minimizing disputes over incomplete tasks or lingering liabilities.
CLOSEOUT PHASE. 8.1. As the Construction Administration Phase progresses, the Architect shall perform the following Closeout Phase services for the District as required: 8.1.1. Architect shall review the project and observe the construction as required to determine when the contractor has completed the construction of the Project and shall prepare punch lists of items that remain in need of correction or completion. 8.1.2. Architect shall collect from the contractor, review, and forward to the District all written warranties, operation manuals, spare parts, lien waivers, and Certificates of Inspection and Occupancy with Architect’s recommendation as to the adequacy of these items. 8.1.3. Architect shall prepare or collect, as applicable, and provide to DSA, all reports required by DSA related to the design and construction of the Project. 8.1.4. Architect shall obtain all required DSA approval on all change orders and addenda to the contractor’s contract. 8.1.5. Architect shall prepare verified report(s) for the Project (DSA-6A/E Verified Report, Rev 04/08, or more recent revision if available). 8.1.6. Architect shall prepare a set of Record Drawings for the Project, as requested by the District. 8.1.7. Architect shall review a package of all warranty and O&M documentation prepared by Contractor and specifically identify any deficiencies. 8.1.8. Architect shall organize electronic files, plans and prepare a Project binder, or an equivalently organized electronic submission. 8.1.9. Architect shall coordinate all Services required to close-out the design and construction of the Project with the District and between consultants. 8.1.10. Architect shall coordinate and obtain DSA approval of the Project in a time period not to exceed twelve months from the date of the start of the Closeout Phase (see Exhibit C) or issuance of final payment release to the contractor(s); whichever is soonest. 8.2. When the design and construction of the Project is complete, the District shall prepare and record with the County Recorder a Notice of Completion for the Project.
CLOSEOUT PHASE. The Architect/Engineer shall provide project close-out services and Final Documents as described herein, and in accordance with the conditions of the Contract Documents provided under Part III.D.3, during the construction phase. Services under this phase shall commence upon award of Substantial Completion to the Contractor.
CLOSEOUT PHASE. Upon termination or expiration of this Agreement, the LCWDB must: reconcile costs and payments; reconcile performance goals with actual performance; ensure participant and financial records are secured and retained; and prepare closeout documents.

CLOSEOUT PHASE. 1.4.1. The Construction Manager shall, with the Architect and the Owner's maintenance personnel, observe the contractors' check-out of utilities, operational systems and equipment for readiness, and assist in their initial start-up, testing, and training. 1.4.2. When the Construction Manager considers each contractor's work or a designated portion thereof substantially complete, the Construction Manager shall notify the Architect. The Construction Manager shall assist the Architect in conducting official punch lists(s) inspections, and after the Architect certifies the date of substantial completion of the work, the Construction Manager shall coordinate the correction and completion of any remaining work. 1.4.3. At substantial completion, the Construction Manager shall deliver as-built drawings to the Owner, or if requested by the Owner, to the Architect in order that the Architect may review and complete the record drawings. 1.4.4. Following the Architect 's issuance of a Certificate of Substantial Completion for the Project or designated portion thereof, the Construction Manager shall evaluate the completion of the work of the contractors and advise the Architect when the work is ready for final inspection. The Architect and/or Project Inspector shall conduct the final inspection and verify the completion of any punch list items. 1.4.5. The Construction Manager shall compile and turn over to the Owner all Project closeout documents including: a list of all prime contractor contacts, warranties, guarantees, affidavits, releases, bonds, keys, manuals, as-built record drawings, attic stock or other required closeout documents other than any DSA related closeout documents. 1.4.6. The Construction Manager shall assist the Owner in the filing of the Notice of Completion.

CLOSEOUT PHASE. Provide record AutoCAD drawings based upon as-built information received from the General Contractor and system vendors – two sets will be required, one to incorporate the record set from the contractor, the second post qualification activities.
