PREPARATION OF BID. 11. The bidders have to prepare their bids online, encrypt their Bid Data in the Bid Forms and submit Bid Seals (Hashes) of all the envelopes and documents related to the Bid required to be uploaded as per the time schedule mentioned in the key dates of the Notice Inviting e-Tenders after signing of the same by the Digital Signature of their authorized representative.
PREPARATION OF BID. 6.1 The Bidder is advised to visit the site of works at his own expense and obtain all information that may be necessary for preparing the Bid.
6.2 Each Bidder shall submit only one Bid. Bidders shall not contact other Bidders on matters relating to this Bid.
6.3 The Bid shall comprise two Parts, namely the Technical Bid and the Financial Bid. Both Parts shall be submitted simultaneously.
6.4 The Technical Bid shall comprise the following:
(a) Letter of Technical Bid as per Format given;
PREPARATION OF BID. 14.1 The Bid form is included with the Bidding Documents. Additional copies may be obtained from the Issuing Office.
14.2 All blanks on the Bid form shall be completed by printing in ink or by typewriter and the Bid signed. A Bid price shall be indicated for each [section, Bid item, alternative, adjustment unit price item, and unit price item] listed therein, or the words “No Bid,” “No Change,” or “Not Applicable” entered.
14.3 A Bid by a corporation shall be executed in the corporate name by the president or a vice- president or other corporate officer accompanied by evidence of authority to sign. The corporate seal shall be affixed and attested by the secretary or an assistant secretary. The corporate address and state of incorporation shall be shown below the signature.
14.4 A Bid by a partnership shall be executed in the partnership name and signed by a partner (whose title must appear under the signature), accompanied by evidence of authority to sign. The official address of the partnership shall be shown below the signature.
14.5 A Bid by a limited liability company shall be executed in the name of the firm by a member and accompanied by evidence of authority to sign. The state of formation of the firm and the official address of the firm must be shown below the signature.
14.6 A Bid by an individual shall show the Bidder’s name and official address.
14.7 A Bid by a joint venture shall be executed by each joint venturer in the manner indicated on the Bid form. The official address of the joint venture must be shown below the signature.
14.8 All names shall be typed or printed in ink below the signatures.
14.9 The Bid shall contain an acknowledgment of receipt of all Addenda, the numbers of which shall be filled in on the Bid form.
14.10 The address and telephone number for communications regarding the Bid shall be shown.
14.11 The Bid shall contain evidence of Bidder’s authority and qualification to do business in the state where the Project is located or covenant to obtain such qualification prior to award of the Contract. Bidder’s state contractor license number for the state of the Project, if any, shall also be shown on the Bid form.
PREPARATION OF BID. PACKAGE The following items shall be completed and returned. Failure to include all the items may result in a bid being rejected. Bid packages shall be submitted in the following order:

PREPARATION OF BID. Bids shall be submitted on the forms provided in this Request for Bids. Each Bid must be signed in ink by a person authorized to do so. All blanks on the Bid Forms, unless otherwise noted, shall be completed in ink or by typewriter. No change shall be made on the Bid Forms or the Items included on the Proposal Form. All erasures, interpolations or other physical changes on the Bid Forms shall be signed or initialed by the Bidder. Bids containing any conditions, omissions or irregularities of any kind may be rejected by the BOROUGH as incomplete. The prices indicated in the Proposal Form shall be printed in ink or by typewriter in both words and figures. Any Bid which fails to name a price in both words and figures may be held to be informal and may be rejected by the BOROUGH. In the event that there is a discrepancy between prices written in words and prices written in figures, prices written in words shall govern. In the event of a discrepancy between unit prices and computed totals, the unit price shall prevail. In the event of an error in the summation of the computed totals, the correct summation of the computed totals shall govern.
PREPARATION OF BID. Before submitting a bid, the Bidder shall thoroughly familiarize themselves with all Terms and Conditions of the Contract Bid Form, and any addenda issued before the Bid Closing. Such addenda shall form a part of the Bid and shall be made a part of the Contract Documents. It shall be the Bidder's responsibility to ascertain that their bid includes all addenda issued prior to the Bid Closing. Bidder should review carefully, information provided, to insure that they are thoroughly familiar with all the requirements, conditions and cost implications that will exist if a contract is awarded to them. No bid preparation costs will be assumed by the TVC or its members and are the distributor’s responsibility. The Bidder must satisfy themselves by personal examination and by such other means, as they may prefer as to the actual conditions and requirements under which the service must be performed. If under inspection and examination by the Bidder there are any existing conditions or requirements of the service which are not completely understood by the Bidder, they shall contact the ITB Lead at the telephone number listed on the Administration page for such information that the Co-op representative may have. Bidders are expected to examine the specifications and all instructions of the bid. Failure to do so will be at the Bidder's risk. Each Bidder shall furnish the information required by this bid. The Bidder shall print or type its name on the bid and each continuation sheet on which it makes any entry. No erasures are allowed and any changes must be struck through, and initialed by the person signing the bid with the corrections thereafter. Envelopes must be sealed and clearly marked on the outside “Sealed Bid”. Labels have been provided on pages 31 and 32. signed by a legal officer of the company having the authority to bind, with company name, date, etc., and labeled as above, otherwise, bid may be considered non-responsive.
PREPARATION OF BID. 5.01 The Bid Tabulation Sheet – Exhibit A is included with the Bidding Documents. The Bid (Proposal) forms are to be left attached to the documents in the same manner as received by the Bidder. Additional copies of the documents may be obtained from Owner at no charge. Supplemental data to be furnished shall be included within the same sealed envelope as the Bidding Documents.
5.02 All blanks on the Bid Tabulation Sheet (Exhibit A) and Bidders Delivery Schedule (Exhibit B) shall be completed by typing or printing in ink and the Bid shall be signed. A Bid price shall be indicated for each Bid item, alternative, or unit price item listed therein, or the words “No Bid”, “No Charge,” or “Not Applicable” entered.
5.03 The Bid price of each item on the form must be stated in words, if specifically requested, and/or numerals. In case of a conflict between the two, the words will take precedence. In case of a conflict between the unit price and the extended amounts, the unit prices will take precedence.

PREPARATION OF BID. All bids / proposals shall be typewritten or in ink on the form(s) prepared by the City of Fairhope. Bids / proposals prepared in pencil will not be accepted. All bids / proposals must be signed by officials of the corporation or company duly authorized to sign bids / proposals. Any bid / proposal submitted without being signed will automatically be rejected. All corrections or erasures shall be initialed and dated by the person authorized to sign quotations /bids / proposals. If there are discrepancies between unit prices quoted and extensions, the unit price will prevail.
PREPARATION OF BID. Each bid must be submitted in a sealed envelope with the following information marked on the outside: name of bidder, address, project name, and bid opening date and time. These General Terms and Conditions apply to Service Agreements entered into between the City and Vendor and dominate over any competing terms made a part of the Service Agreement.

6.3. Bids by unincorporated organizations shall be executed in the organization’s name and signed by an individual having authority to enter into a contract on behalf of such organization, whose title shall appear under the signature and the official address of the organization shall be shown below the signature. For example, if such organization is a Limited Liability Company, the Bid shall be signed by its manager, or if such organization is a Limited Partnership, the Bid shall be signed by a general partner.
6.4. All names shall be typed or printed in ink below the signature. All names shall be the legal name of the corporation, unincorporated organization and/or individual.
6.5. The Bid shall contain an acknowledgment of receipt of all Addenda (the numbers of which shall be filled in on the Bid form).
6.6. The address, telephone number, e-mail address and fax number for communications regarding the Bid shall be provided.
6.7. It is understood and agreed that, in the event an Agreement is executed for the supplies, equipment or services included in the Bid, no indication of such sales or services to the Owner shall be used in any way in product literature or advertising without the written consent of the Owner.
