Contract Management Arrangements. The Supplier shall be fully engaged on an on-going basis in regular Contract Management Reviews relating to this Call-Off Contract and the overarching Framework Agreement. These reviews provide an opportunity for the Department and the Supplier to discuss the end-to-end delivery of the Services which shall include but not be limited to: planning; progress; risk management; issue management; continuous improvement; proposed changes; lessons learnt; exit management. Reviews will be carried out with Senior Management on a six month basis where the Department and the Supplier will meet to discuss Supplier performance, lessons learnt, continuous improvement, value for money, exit management and any other issues considered relevant by the Department.

A Contract Manager must be appointed by the Contractor who will be the primary contact with DCLG. Regular meetings with DCLG – at least twice a year – will be required to discuss any issues over the contract/supply of data/data quality. However there should also be the option for emergency meetings to be held at short notice to discuss issues of high urgency. Meetings can be held at DCLG’s offices or those of the Contractor. 8. The DCLG contract manager will be advised by a steering group consisting of people drawn from key interested organisations, such as the Planning Officers Society (POS), Mineral Products Association (MPA) and Aggregate Working Parties Secretaries (AWPs). The timetable of work will make due allowance for consideration of drafts by, and meetings of, the steering group at appropriate points during the work programme. The contractor will be responsible for preparing and distributing papers for, and preparing a note of the proceedings at, each meeting. The contractor’s proposal includes a quality plan setting out quality assurance procedures for all activities and outputs. The plan indicates who has responsibility for each element of the work, for overall management control and for editing of the reports to ensure consistency of style.
