Stakeholder Coordination Clause Samples
The Stakeholder Coordination clause establishes the requirement for effective communication and collaboration among all parties with a vested interest in a project or agreement. It typically outlines procedures for regular meetings, information sharing, and decision-making processes to ensure that stakeholders are kept informed and can provide input as needed. By formalizing these coordination mechanisms, the clause helps prevent misunderstandings, aligns expectations, and facilitates smoother project execution by ensuring all relevant parties are engaged and informed throughout the process.
Stakeholder Coordination. CONSULTANT shall coordinate with project stakeholders as needed to inform each stakeholder of the project work and incorporate any necessary accommodations into the final submittal documents.
Stakeholder Coordination. Kick-Off Meeting. Plan and execute a kick-off meeting with all initially identified stakeholders to communicate the study purpose, goals, group/interview structure, expectations and schedule of the assessment. Structure of Stakeholder Groups. Establish an initial list of all stakeholder groups, including but not limited to individual groups (e.g., businesses, residents [including low-income or minority residents, Indianapolis residents, and suburban residents], freight carriers, environmental interest, commuters, non-profit organizations, etc.), regional groups and elected officials. The groups shall be structured to facilitate an orderly process. Establish the interview schedule and define regional report-back/update groups. Conduct Stakeholder Interest Group Interviews. Prepare one set of presentation materials and interview questions to be used at all interviews. It is anticipated that within that prepared material, each interview will be focused on the information and questions that pertain to the group’s interests and concerns associated with the transportation system. Input will also be solicited on design factors to inform scenario development. Develop an interview questionnaire to collect stakeholder input. Questionnaires shall be used in accordance with stakeholder or group interests. Meeting notes will be prepared for each interview and a comment log combining input from all interviews shall be prepared. Report-back Updates – Prepare two sets of presentation materials for report- back meetings to combined groups from the original round of interviews. The updates will occur two times during the planning process – after initial scenarios are developed, and after the IndyMAP document is finalized to share findings and conclusions. Elected Official Briefings – Prepare one set of presentation materials to update elected officials on status, initial findings, progress, etc. The elected official briefings may occur within regularly scheduled agency meetings as appropriate. It is anticipated that the elected official briefings will occur at outset of IndyMAP planning effort, and at the end of the planning process, prior to submittal of report.
Stakeholder Coordination. ♦ Coordinate with Tumwater School District, Tumwater Fire Department, and Intercity Transit on design of non-circular roundabout. ♦ Attend up to one (1) meeting with all stakeholder.
Stakeholder Coordination. Consult with City Parks Department and Game Fish & Parks for site access, bike/pedestrian detours, abandonments, and restoration requirements.
Stakeholder Coordination. We will assist the RWMG to hold a series of IRWM Plan update workshops, which will allow stakeholders to discuss IRWM Plan Standards such as: Governance, Region Description/ Climate Change, Objectives, and Project Review Process. The specific workshop dates and topics are identified within each plan section task. The workshops will allow a forum for stakeholders to consider the existing IRWM Plan, review key plan sections, discuss various options, and gain consensus on the best approach to restructure the Plan to fit changing regional water management needs. x Distribute notices of, and materials for, IRWM Plan Update Workshops. x *ost IRWM Plan Update Workshops.
Stakeholder Coordination. This task includes all management and coordination activities associated with early engagement with adjacent property owners to discuss the project and any concerns prior to advertisement for a public hearing. This task includes preparation for and participation in one (1) meeting held in Allen County by two representatives of the CONSULTANT. This task also includes the preparation of a meeting summary.
Stakeholder Coordination. RK&K will assume preparation for and attendance and development of post meeting summaries of up to five (5) coordination meetings with stakeholders. All materials for stakeholder coordination are assumed to be derived from the concept plans and design plans. Stakeholders may include but are not limited to: CSX, NPS, WMATA, PEPCO, SHPO, DC WATER, NCPC, and Washington Gas. Stakeholder Coordination is anticipated to include the following:
1. CSX: A preliminary engineering agreement will be required by CSX to review the proposed design. The FPDC team will coordinate execution of the agreement between DDOT and CSX (estimated fees are included in our proposal as a direct cost under DesignGreen). The FPDC team will submit plans to CSX for comment and prepare responses to comments.
Stakeholder Coordination. The Engineer will be responsible for implementing any stakeholder involvement. Services will include identifying stakeholders affected by the project and coordination of meetings to establish a proactive involvement process during the Project development. The stakeholder involvement activities sought under this scope of services, include, but are not limited to the following:
a) Develop a plan and strategies to engage stakeholders.
b) Organize and implement meeting logistics.
c) Identify stakeholders and develop mailing list database.
d) Facilitate meetings.
e) Prepare and distribute involvement material.
f) Produce graphic materials to promote and educate stakeholders about the project.
g) Monitor and review comments received.
h) Prepare exhibits/displays for Meetings.
i) Prepare Meeting Summary, including a response to comments received.
Stakeholder Coordination. The Engineer shall coordinate up to ten (10) coordination meetings with potential stakeholders such as North Central Texas Council of Governments (NCTCOG), City of Plano, Denton, County, Collin County, Texas Department of Transportation (TxDOT), North Texas Tollway Authority (NTTA), Denton County Transit Authority (DCTA), utility owners, and adjacent businesses. These coordination meetings shall be used to evaluate potential challenges and funding partnerships. Meetings shall be conducted at the City’s venue. In support of the coordination meetings the Engineer shall develop a project tabloid to convey key information about the project such as costs, meetings, partnerships, and funding opportunities. The Engineer is expected to make up to two

The Engineer shall perform the following Stakeholder Coordination Tasks: • Attend stakeholder face to face meetings: o Ten (10) meetings with Unity Village (Unity Village, Unity Villas, Newmark ▇▇▇▇▇ ▇▇▇▇▇▇) o Four (4) meetings with ▇▇▇▇▇▇ and ▇▇▇▇▇▇▇ ▇▇▇▇▇▇▇ o Eight (8) meetings with the ▇▇▇’▇ Summit Municipal Airport/FAA o Four (4) meetings with MoDOT LPA Staff o Three (3) meetings with the Union Pacific Rail Road (UPRR) The Engineer will develop agendas and meeting minutes for all meetings. Agendas will be submitted to City for review two (2) weeks prior to any meeting and meeting minutes will be completed and submitted to City within (2) weeks after said meeting. In addition to the Stakeholder Coordination the Engineer will make two (2) presentations to the City Council for the purposes of informing the public and to solicit feedback. The Engineer will develop a presentation utilizing powerpoint or presentation boards as directed by the City. Engineer will submit the presentation or draft exhibits to the City two (2) weeks prior to presentation for approval and comment.
