Scheduling Vacation Leave. Generally, each worker should be given a choice of time for vacation but the District reserves the right to schedule vacation leave at its convenience provided that every attempt is made to schedule vacation leave so that workers who choose to do so have at least five consecutive work days off and that such scheduling is not done in an arbitrary and capricious manner. After reporting for duty, an Employee who uses vacation leave that is less than eight (8) hours on that same day must take leave for the remainder of the shift. 2. Before a Sergeant makes a leave request, such Sergeant must ensure that adequate personnel are scheduled for each shift. 5. Requests for vacation that cause one slot or 8.5 hours of overtime will be granted if no member of any sworn bargaining unit on that shift has already been granted vacation leave, compensatory time, holiday leave, or personal leave. If a member of any sworn bargaining unit on that shift has already been granted such leave, no additional leave may be granted if overtime will be created by the granting of the leave.

If an employee's absence will seriously hamper the work of the department, the District may request that the employee take vacation at a time other than the time requested. Except for emergencies or other special circumstances, all vacation must be requested and approved in advance. Employees must submit a Request for Vacation. Such rescheduling must occur within three (3) months of the canceled vacation and the unused vacation will have no effect on the vacation accrual limit during that time period. If the vacation cannot be rescheduled within three (3) months, the employee will be paid for the vacation. If an employee’s vacation is canceled by the District, the District will reimburse the employee for any and all non-refundable expenses incurred by the employee such as non-refundable plane fares or reservations. After a vacation leave is approved an employee may request a change only if the change does not impact the work or affect the already scheduled vacation time of other employees. If an employee becomes seriously ill or is injured during a scheduled vacation period, the employee may submit a signed statement from a physician that the employee was incapacitated and would be unable to work. In such circumstances, an employee may request that the time be deducted from earned sick leave. The physician statement shall include a complete description of the illness or injury and length of disability, receipts of payments made for medical care and any other supporting documentation deemed appropriate by the District. If the request is approved, the balance of the vacation shall be rescheduled.
Scheduling Vacation Leave. The department head shall determine the number of employees who can be assigned for vacation purposes at any one time, agreeing that an effort shall be made to schedule vacation leave in accordance with manpower and work load requirements as determined by the department head. Vacation leave shall be granted giving preference to the classification within a given assigned unit. In the event two (2) or more employees in the same classification in the same assigned unit desire the same vacation date, and it is determined by the department head that one or both employees cannot be assigned for vacation purposes, the employee having the least amount of classification seniority within the assigned unit shall select alternative dates for his vacation.
