CLOSE OUT PHASE. 1. As the Construction Administration Phase progresses, Architect shall perform the following Close Out Phase services for the District as required in a timely manner:
a. Architect shall review the Project and observe the construction as required to determine when the contractor has completed the construction of the Project and shall prepare punch lists of items that remain in need of correction or completion.
b. Architect shall collect from the contractor, review, and forward to the District all written warranties, operation manuals, spare parts, lien waivers, and Certificates of Inspection and Occupancy with Architect’s recommendation as to the adequacy of these items.
c. Architect shall prepare or collect, as applicable, and provide to DSA, all reports required by DSA related to the design and construction of the Project.
d. Architect shall respond to the DSA “90-day” letter.
e. Architect shall obtain all required DSA approval of all Construction Change Documents and addenda to the contractor’s contract.
f. Architect shall prepare a set of As-Built Drawings for the Project, as required by the District.
g. Architect shall review and prepare a package of all warranty and M&O documentation.
h. Architect shall organize electronic files, plans and prepare a Project binder.
i. Architect shall have primary responsibility to coordinate all Services required to close-out the design and construction of the Project with the District and among Consultants.
2. When the design and construction of the Project is complete, the District shall prepare and record with the County Recorder a Notice of Completion for the Project.
CLOSE OUT PHASE i - As the Construction Administration Phase progresses, the ARCHITECT shall perform the following Close Out Phase services for the DISTRICT as required:
ii - ARCHITECT shall conduct inspections as required to determine when the contractor has completed the Project and shall prepare punch lists of items that remain in need of correction or completion.
iii - ARCHITECT shall review, and forward to the District all contractor’s written warranties, operation manuals, spare parts, lien waivers, and Certificates of Inspection and Occupancy with its recommendation as to the adequacy of these items.
iv - ARCHITECT shall prepare or collect, as applicable, and provide to DSA, all reports required by DSA on the Project to obtain DSA project close out. The DSA close out documents shall be submitted to DSA within 60 days of “Notice of completion” of the contract. A copy of the DSA submittal shall be provided to the DISTRICT.
v - ARCHITECT shall obtain all required DSA approval on all change orders and addenda to the contractor’s contract.
vi - ARCHITECT shall prepare a final verified report for the Project.
vii - ARCHITECT shall prepare all Electronic Record Drawings (Autocadd 2011) and Specifications for the Project from information provided by contractor (as-builts).
viii - The DISTRICT shall prepare and record with the County Recorder a Notice of Completion for the Project
A. The following extra services to this Agreement shall be performed by ARCHITECT if needed and requested by the DISTRICT.
1. Making revisions in drawings, specifications, or other documents when such revisions are:
a. Inconsistent with approvals or instructions previously given by the DISTRICT.
b. Required by the enactment or revisions of codes, laws, or regulations subsequent to the preparation of such documents.
c. Due to changes required as a result of the DISTRICT'S failure to respond to a written request from the ARCHITECT within a reasonable time, as requested by ARCHITECT.
d. Expiration of Agencies’ prior approvals.
e. Site modifications by others subsequent to DSA submission.
f. Changes to manufactures equipment and products availability at the time of construction.
2. Providing services required because of significant documented changes in the Project initiated by the DISTRICT, including but not limited to size, quality, complexity, the DISTRICT'S schedule, or method of bidding or negotiating and contracting for construction.

CLOSE OUT PHASE. As-Built Drawings. Consultant shall review and evaluate for District, Contractor’s as-built documentation of the actual construction performed during the Project that Contractor prepares and submits. As-builts are documents that show the actual construction performed during the Project, including changes necessitated by change orders, RFIs, Supplemental Drawings/Documents, and detailed by Contractor.

CLOSE OUT PHASE. .1 Upon Substantial Completion of the Work, the Close-Out Phase shall begin. When the Work is complete and a request is made by the Contractor, Designer, with the appropriate members of the Design Team and with a representative of Owner present, shall conduct a Final Completion inspection to verify, to the best of Designer’s knowledge, information and belief, to Owner that the Project is in compliance with the Contract Documents. When the Work is determined to be complete, Designer shall issue a Final Certificate for Payment.
.2 Designer shall prepare and submit Record Documents to Owner as required by the Designers’ Manual. All approved Additional Services and reimbursable expenses shall be completed and billed. Designer shall prepare and submit to Owner a final request for payment to complete the Close-Out Phase.
.3 During the one year correction period after the date of Substantial Completion of the Work, Designer shall work with a representative of Owner in securing remedy of any of the Work that is found to be not

h. Architect shall coordinate all Services required to close-out the design and construction of the Project with the District and between consultants.
2. Upon submission of a letter of Substantial Completion by the Contractor the Architect shall issue a letter certifying completion or a letter of rejection.
CLOSE OUT PHASE. As the Construction Administration Phase progresses, the Architect shall perform the following Close-Out Phase services for the District as required:
1. If the Project is being constructed under the CM- Multi Prime method, the close- out phase services shall apply to each individual trade contract at no extra cost.
2. Architect shall review the Contractor final punch lists to determine if the Contractor has substantially completed the construction of the Project (or portion thereof as per its contract with District) and shall prepare punch lists of noted items that remain in need of correction or completion. Architect shall issue a final certificate for payment based upon a final inspection indicating that the work complies with the requirements of the Contract Documents. Only one punch list review and one back-check review is contemplated as a Basic Service. In the case of a CM Multi Prime project delivery, the one punch list and one back-check review shall apply to each trade contract bid on the Project.
3. When the work is found to be substantially complete, Architect shall inform District about the balance of the contract price remaining to be paid to Contractor(s), including the amount to be retained from the contract price, if any, for final completion or correct of the work.
4. Architect shall collect from the Contractor, review, and forward to the Construction Manager all written warranties, operation manuals, spare parts, lien waivers, and Certificates of Inspection and Occupancy with Architect’s recommendation as to the adequacy of these items.
5. Architect shall prepare or collect, as applicable, and provide to DSA, all reports required by DSA related to the design and construction of the Project. Architect shall gather any information and forms required for DSA close-out.
6. When the design and construction of the Project is complete, the Architect shall assist the District to prepare a Notice of Completion for the Project, and in the case of a CM Multi Prime project delivery, upon completion of the work specified in each trade contract. All Notices of Completion will be recorded by the District.
7. The Architect shall provide the District proof that the following documents described below were delivered to the DSA for review prior to issuance of a “Certificate of Completion.”
a. Copies of the Inspector of Record’s semi-monthly reports.
b. Copies of the laboratory reports on all tests or laboratory inspections as returned and done on the Projec...
CLOSE OUT PHASE. 2.2.1. Upon acceptance of the project, CONSULTANT shall prepare close-out documentation within 90 days of final acceptance. The close-out documentation shall consist of record drawings and a final project report, and shall provide CITY, and FAA with record drawings and final report in hard copy and electronic format. Using data provided by CITY in its construction observation role, the final project report shall include the following:
a. A brief narrative of project events and milestones
b. Statement of contract time and liquidated damages (if any)
c. Statement of substantial compliance with plans, specifications and contract documents based on observations and field/laboratory tests
d. Explanation of under runs/overruns of contract items and price adjustments (if not already provided with change orders)
e. CONSULTANT’s summary of acceptance test results
f. Evaluation of the DBE project goal accomplishment.
g. Photographs of the completed work
h. A copy of the final inspection report (must identify all participants)
CLOSE OUT PHASE. The ARCHITECT shall work diligently with the DISTRICT and their consultants to provide a complete close out of the project. This phase will be considered complete upon a complete submittal to the Division of the State Architect of all close out documentation and issuance of project certification by DSA.
