CONDITIONS OF HIRE. Agreements with Age Connects Morgannwg for the hire of space at Cynon Linc or any part thereof (“the Premises”) are subject to these Terms and Conditions of Hire (“the Hire Conditions”). The Hirer shall be responsible during the period of hire for: – Being familiar with, and complying with, the guides provided for the use of the Premises Ensuring that the Premises are kept secure for the duration of the hire Supervision of the use of the Premises and the care of its fabric and contents Ensuring that the purpose and conduct of the hire does not disrupt the use of any other room hired by other persons Ensuring that the Premises including public areas are left clean and tidy with rubbish removed from the rented space at the end of the hire. If we are required to undertake a deep clean of the rented space after your booking, you accept you will be held liable for the full amount incurred in doing so and will be invoiced for any work undertaken in respect of such cleaning. Ensuring that all equipment, chairs and tables have been returned to their original positions safely, the Premises are cleared of people, all lights switched off, and the rented space secured. Ensuring that any temporary fittings and fixtures comply with Health and Safety guidance, and in particular ensuring that any decorations used are not a fire hazard. Ensuring that any equipment or electrical appliances brought onto the Premises and used there shall be certified safe (▇▇▇ Tested) and in good working order and used in a safe manner. Ensuring that no animals (including birds), except assist dogs are brought into the building, without written permission of the management on the occasion of a special event or hire agreed to by the management The Hirer shall: Ensure that the “Emergency Exit” signs are kept illuminated and not obscured. Ensure that the Fire Brigade is called to any outbreak of fire, however slight, and details given to the management. CONDITIONS OF HIRE. In consideration of the hire fee described in clause 2.4, we agree to permit you to use the premises described in clause 2.2 for the purpose described in clause 2.12 for the period(s) described in clause 2.1. The details inserted in sub-clauses 2.1 to 2.9 below and the answers to the questions in sub-clauses 2.10 to 2.17 are terms of this Agreement. CONDITIONS OF HIRE. 2.1 The letting of the premises or use by Third Party / hire groups is under responsibility of the Parochial Church Council (PCC). Delegated authority will be given to a Churchwarden or any appointed responsible person to administrate Parish lettings. Any long term or contract hire is only with the approval of the PCC and or delegated authority. For the use of Parish buildings, a written and signed agreement has to be made, with reference to this agreement. Sub-hire or use of the premises for any purpose other than described in the agreement is prohibited. All liability for loss or damage of any equipment or other property brought onto or left at the premises is excluded, because the PCC does not accept responsibility for such. No alterations or additions may be made to the premises.
2.2 Our attitude towards an application for the use of our premises will be a positive one. We will seek to encourage appropriate organisations to use the premises for meetings and activities, where such meetings are complementary to the Church’s regular activities.
2.3 The PCC may request references from a new user before agreeing a booking. We will not, however, accept bookings for activities which are in conflict with the Christian gospel as understood by the PCC; which will prevent our regular activities from functioning in full; or which promote any political party or opinion.
2.4 The Parish reserves the right to refuse requests for hire by groups or for activities which, in the opinion of the Church, are either contrary to the purposes and beliefs of the Church of England, or where the Church considers that such use or activities may cause offence, on grounds of their religion or belief, to a significant number of people.
2.5 Out of respect to other users and our neighbours surrounding the premises, we expect all users to conduct themselves in a reasonable and courteous manner whilst on the premises, and when leaving the premises.
2.6 All events are to finish by 10pm (or agreeable time), with the premises to be empty by midnight. The premises will not be available to the Hirer before the beginning of the booking time and must be vacated by the end of the booking time (or with discretionary agreement). CONDITIONS OF HIRE. 3.1 The hire of the Equipment will commence on the Commencement Date.
3.2 At the Commencement Date the Hirer shall inspect the Equipment and the Order Acknowledgement form will be signed by the Hirer or by a person authorised on behalf of the Hirer.
3.3 Signature of the Order Acknowledgement Form by the Hirer or by a person authorised to sign on the Hirer’s behalf shall constitute acceptance of the Equipment and of the terms and conditions set out herein.

CONDITIONS OF HIRE. It is the responsibility of the hirer to meet the following ‘Conditions of Hire’ whilst using this facility. Any breach of these Conditions of Hire may lead to the hirer not having access to the facility for future bookings. • Two copies of the Hire Agreement must be completed and signed prior to the booking (one copy is forwarded to Council and one copy retained by the hirer). The person signing the agreement must be over 21 years of age. • Where the hirer intends to use the facility to provide programs/activities for people under the age of 18 years, the hirer shall provide sufficient and competent adult supervision at all times and is responsible for all participants’ behaviour. • Ensure the facility is left in a clean and tidy condition. All rubbish generated from the use of the Pavilion is to be removed by the hirer. Hirers will be on-charged the cleaning costs if the pavilion is not cleaned after use. • It is essential to report (as soon as possible) any damage and/or vandalism to the pavilion. It is the responsibility of the hirer to ensure the facility is left in a clean and tidy state. Failure to do so may result in additional cleaning charges and/or suspension of future use of our facilities. • Dispose of all rubbish in the provided bins. If rubbish exceeds the supplied bin, the hirers must remove excess from the premises. • All surfaces, including tables, chairs, and sinks are to be wiped clean. • Vacuum and mop the kitchen floors. • Stack all chairs and tables in the specified storage area. • Toilets and foyer spaces are to be left in a clean and tidy state. All hirers must provide evidence on request of public liability insurance for a minimum of $10 million. • If the hirer does not have their own public liability insurance further information may be obtained by contacting their own insurance advisor and/or Local Community Insurance Services on 1300 853 800 or Local Community Insurance • Dependant on the type or size of the hirer, Council may at its sole discretion require the hirer to: o Provide a satisfactory risk management plan o Traffic management plan o Security plan o Any other information it believes is relevant to the hire of the space. Failure to provide the required information, may result in the booking being cancelled. • All space allocated to regular hirers is until 31 December each year. • Hirers who wish to continue their regular booking using the Community Pavilion will need to submit an Expression of Interest for each year. •...
CONDITIONS OF HIRE. The Hirer agrees to comply with the following Conditions of Hire, and the attached Rules for Hall Users (2020):-
a). The Hirer shall be responsible for the safety of those attending the above given event(s), especially any children and any vulnerable adults. The Hirer must provide the Hall Manager a copy of their safeguarding policy, which must then be agreed by the church’s Safeguarding Officer and Standing Committee of the PCC before the premises is used, or they may adopt the parish’s policy. Please see the Appendix below. The Hirer should take note of the evacuation procedure in the event of fire, and take note of the location of the fire-fighting equipment, and the first-aid box and book in the kitchen. Exit doors and lobbies must be kept clear of prams, bicycles, mobility vehicles, tables, chairs, and anything else. These must be brought into the hall or left outside in a position well away from the exit doors. In the event of a fire, the evacuation procedure should be implemented first, then the Fire Brigade should be called out. If there are capable persons present who are able to use the fire-fighting equipment without putting themselves at risk, this may be attempted as long as the evacuation is not impeded. Please contact the Hall Manager to inform them of the fire when the evacuation is complete. If an accident occurs, the Hirer should consider whether to call for an ambulance. A report of the accident should be entered in the accident book kept in the first-aid box. Please contact the Hall Manager to let them know there has been an accident.
b). The Hirer agrees to inform the PCC (via the Hall Manager) immediately if they become aware that any person with coronavirus symptoms has entered the building, or is identified as having been on the premises.
c). The Hirer should ensure that any children’s play activities are properly supervised in order to avoid injury. Bouncy castles and trampolines are not allowed in the Hall because of the risk of falling onto the hard wood floor.
d). Nothing should be brought into the Hall which poses a fire risk or danger of explosion. The use of fire or flame is not allowed. Candles on a cake or tea-lights in protective holders may be used at the Hirer’s own risk, provided that great care is taken to ensure that no fire is caused, and that the candles/tea-lights are extinguished as soon as possible.
